How to Archive and Review a Data Sharing Summary

When a Data Sharing Summary is due for review there are a few options that will be available to you when you go to archive that Data Sharing Summary.

Data Sharing Summaries that are due to be reviewed within one month will be highlighted yellow:


Data Sharing Summaries where the review date has passed will be highlighted red:


To view your options click the Archive button (highlighted below) next to Data Sharing summary which is due to be reviewed.


A pop up will appear outlining the below options:

Archive and Review All

If the data sharing is still taking place, and all of the data flows are still relevant, all should be archived and reviewed.

What will happen:

  • The existing summary and all its data flows will be archived
  • Copies of the summary and data flows will be created, ready for review and sign off.

Archive All and Review Summary

If the data sharing is still taking place, but the data flows have changed significantly, or no data flows are currently recorded, the sharing summary should be archived and reviewed.

What will happen:

  • The sharing summary and any existing data flows will be archived.
  • A copy of the summary will be created.
  • Copies of the data flows will not be created.

Archive All

If the data sharing is no longer taking place, the summary and all of its flows should be archived.

What will happen:

  • The sharing summary and all of its flows will be archived.


Select the most appropriate option for your Data Sharing Summary. Any copied items will be created and added to your data sharing list ready for you to review.
